Availability worked out from bookings
Each booking holds a yacht for a date, start time and duration. Availability is calculated from your bookings, and the system refuses any booking that overlaps another on the same yacht.
Features
Yachtko brings bookings, payments, VAT, fleet, calendar, customers, invoices, reports and staff access into one system built for hourly yacht charters. Every feature below is included on every plan.
41 features across 8 areas
Every charter, from the moment it is confirmed to the final balance.
Each booking holds a yacht for a date, start time and duration. Availability is calculated from your bookings, and the system refuses any booking that overlaps another on the same yacht.
Charters are booked by the hour in half-hour steps and priced from the yacht's hourly rate. Built for two-hour sunset cruises and full-day events, not weekly charters.
Agree a lower price and record the discount on that booking, with the reason. The invoice shows the standard rate and the discount, and profit uses the price actually charged.
Every booking records the occasion, such as a birthday, proposal or corporate event, and where the customer came from, such as Instagram or a referral. Both lists are yours to edit.
Cancel with a full refund, a partial refund, or keep the deposit. Money you keep counts as profit, money you return comes off revenue, and the yacht is free again for those hours.
Charter payment is rarely one payment.
Record a deposit when the booking is made and the balance when it arrives. Every booking shows its total, what has been paid and what is still owed.
One list of every booking with money outstanding, split into trips that have already sailed and trips still to come, with the total owed at the top.
Chase any outstanding balance in one tap. WhatsApp opens with the customer, the amount and the yacht already written in.
Set your VAT rate once and choose whether prices include it or have it added on top. VAT is split out of every payment and never counted as revenue or profit.
Owned and rented yachts in one fleet, each costed correctly.
Each yacht is owned or rented from another owner. For a rented yacht you record what you pay the owner per hour. For an owned yacht, its running cost per hour.
The hourly price and cost are copied onto the booking when it is created. Change a yacht's rate later and past bookings, margins and reports stay exactly as they were.
Guest capacity, length, rooms and features such as a sound system, on every yacht. A booking for more guests than the yacht takes is refused.
Stop selling a yacht and deactivate it. Its past bookings and figures stay in every report.
The whole fleet's day on one screen.
Every booking across the fleet on one month view, with a preview of each day's trips and the month's booked value.
One row per yacht, hours across the top, every trip as a block. See every boat's day at a glance.
Every time follows your company's timezone, whoever is logged in and wherever they are. Set the hours you operate and the timeline follows them.
Not revenue per yacht. Profit per yacht.
Revenue, net profit, bookings and fleet utilisation for the month, each compared with the month before.
What each yacht earned after its own payroll and expenses, ranked from most to least profitable. The busiest boat is often not the one making money.
Berth, insurance, salaried crew and other monthly costs, attached to a yacht or to the company and charged on the day you choose.
Repairs, a photographer or a one-off campaign, dated to the day they happened so each lands in the right month.
Revenue excluding VAT, cost of charters, margin, payroll, expenses and net profit, for this month, last month, the last three months, the year or any dates you choose.
Bookings and revenue broken down by source, yacht and occasion, so you know which channel and which boat brings the money in.
Every deposit, balance, refund, payroll charge and expense in one ledger, filtered by type.
Download a formatted PDF report, or a CSV your accountant can open in any spreadsheet.
Start your month on any day from the 1st to the 28th, so reports match how you close your books.
Charter demand in the Gulf repeats on a calendar.
Every customer's bookings, lifetime spend, total hours, typical party size and favourite yacht, built automatically from their bookings.
Past customers whose birthday, anniversary or other occasion falls in the next 45 days, shown on the dashboard so you reach them before they book elsewhere.
Message any customer from their record without copying numbers between apps.
Find a customer by name or phone number, and keep notes on what they asked for last time.
A professional invoice from every booking.
Generate an invoice straight from a booking, with the customer, yacht, date, time, guests, discount and VAT already filled in.
Logo, company details, bank account details and footer, set up once with a live preview.
Your own prefix and sequential numbers, assigned when an invoice is saved and never reused.
Ask for the full amount, a 50% deposit or the remaining balance, with your own label for the amount due now.
Add a card processing fee on top of the total, shown as its own line on the invoice.
A saved invoice cannot be edited, so what you sent never changes underneath the customer. A mistake is voided and reissued.
Download any invoice as a PDF, and find it later by invoice number, customer name or phone.
Everyone on one system, each seeing what they should.
Add as many people as you need on every plan, at no extra cost.
Owners see everything. Managers see everything except company settings and staff. Staff take bookings, manage customers and record payments, but never see costs, margins, payroll or reports.
Access rules are enforced by the database, not just hidden on screen, so a staff account cannot reach financial data by any route.
Create an invite code, send it on WhatsApp, and your team member sets up their own login. You never handle their password.
