Most yacht charter businesses in the Gulf run on one spreadsheet and a WhatsApp thread. It holds up at three boats. At forty bookings a month, with deposits, balances, VAT and boats from several owners, it stops telling you the truth.
| Area | In a spreadsheet | With Yachtko |
|---|---|---|
| Double bookings | Two bookings on the same boat, noticed on the day | Blocked the moment the second one is entered |
| Profit | Revenue for the month, profit guessed | Profit per yacht, after payroll and expenses |
| Payments | Deposits and balances tracked in someone's head | Every balance owed in one list, chased on WhatsApp in one tap |
| VAT | VAT mixed into revenue, margins look better than they are | VAT kept separate and never counted as profit |
| Invoices | Typed by hand in Word for every customer | Created from the booking with the details filled in |
| Team | One person knows how the file works | Every staff member has a login, and staff never see your costs |
Six things, each built around how charters are sold in Dubai and the Gulf: by the hour, with a crew, confirmed over WhatsApp.
Create a booking with yacht, date, start time and duration. Availability is worked out from your bookings, never toggled by hand, and an overlapping booking on the same yacht is refused.
For a rented yacht, record what you pay the owner and what the customer pays you. Both are locked onto the booking, so a rate change next month never rewrites last month's margin.
Every payment is recorded against its booking. See who still owes money, chase them on WhatsApp in one tap, and handle cancellations with full or partial refunds.
Not revenue per yacht. The margin each boat earned, minus the payroll and expenses it carries whether it sails or not. The busiest boat is often not the profitable one.
Full booking history and lifetime spend for every customer. Birthdays and anniversaries come back 45 days ahead, so last year's birthday charter becomes this year's booking.
Turn a booking into a PDF invoice with your logo and bank details. Run profit and loss for any date range, and export to PDF or CSV for your accountant.
You sell boats you do not own. Yachtko tracks the owner's rate and your price on every booking, so your margin is exact on every trip.
You own the yachts. Add berth, insurance and crew as monthly costs and running costs per hour, and see which boat covers its keep.
You own some boats and rent others when you are full. Both sit in one fleet, each costed the right way, on one calendar.
Established charter systems were built around the Mediterranean model: one yacht, one week, one crew, one owner. The Gulf works differently. A company here sells a few of its own boats and rents more from other owners when the fleet is full, in hourly blocks, over WhatsApp.
Yachtko treats every yacht as owned or rented and costs each one correctly. For a rented yacht it records what you pay the owner. For one you own, it records the running cost per hour and the fixed monthly costs the boat carries.
Yacht charter management software is a back-office system for companies that rent out yachts. It records bookings, yacht availability, customer payments and costs in one place, and calculates what each trip actually earned. Yachtko is yacht charter management software built for hourly, crewed charters in Dubai and the Gulf.
Software for a Dubai yacht rental business has to handle hourly crewed charters, deposits and balance payments, 5% UAE VAT, and boats rented from other owners as well as boats you own. Most charter software is built for weekly Mediterranean charters instead. Yachtko is built for the Dubai model and costs from $47 a month with no commission.
A spreadsheet works for a few boats and a handful of bookings. It starts to fail when you need to prevent double bookings, track deposits and balances across many customers, keep VAT out of revenue, or see which yacht is profitable after its fixed costs. That is usually the point where charter companies move to dedicated software.
By working out availability from the bookings themselves instead of marking a yacht as booked by hand. In Yachtko every booking has a yacht, a start time and a duration, and the system refuses any new booking that overlaps an existing one on the same yacht.
Start with the yacht's revenue, excluding VAT. Subtract what each trip cost: the owner's rate for a rented yacht, or the running cost for one you own. That gives the margin. Then subtract the yacht's fixed monthly costs, such as berth, insurance and salaried crew, and any one-off expenses like repairs. What remains is that yacht's profit.
Because the busiest yacht is often not the most profitable one. A boat that sails constantly can still lose money once its berth, crew and maintenance are counted. Revenue per yacht hides that. Profit per yacht shows it.
By recording two prices on every booking: the rate paid to the owner and the price charged to the customer. The difference is the broker's margin. Yachtko stores both on the booking when it is created, so if an owner changes their rate later, past margins stay correct.
UAE VAT is 5%, and the VAT collected belongs to the tax authority, not the business, so it should be kept out of revenue and profit. Prices can be quoted with VAT included or with VAT added on top. Yachtko supports both and reports VAT collected separately. Confirm how your own charters are treated with your accountant.
Each booking needs a total, the amount paid so far and the balance still owed, not a single price field. Yachtko records every deposit, balance payment and refund against the booking, lists every booking with money outstanding, and lets staff send a WhatsApp reminder in one tap.
Pricing ranges from per-boat annual licences to a percentage of every booking. Yachtko charges a flat monthly price by fleet size: $47 a month for up to 8 yachts, $97 for up to 22 yachts and $147 for unlimited yachts, with unlimited staff and no commission.
Some booking platforms and marketplaces take a percentage of each booking. Yachtko does not. It is a flat monthly subscription and takes nothing from any charter you sell.
Yes, with role-based access. In Yachtko, staff can create bookings, manage customers and record payments, but never see what a yacht costs, the margin on a trip, payroll or reports. Owners and managers see everything.
Yes. Yachtko is built for hourly crewed charters. Each yacht has an hourly rate, bookings run in half-hour steps, and a discount can be applied to any individual booking.
Yachtko creates PDF invoices with your logo, numbering, VAT and bank details. It is not an accredited UAE e-invoicing provider and does not submit structured e-invoices under the system being phased in over 2026 and 2027.
Yachtko brings bookings, fleet availability, deposits and balances, VAT, payroll, expenses, invoices and profit per yacht into one place for yacht rental companies in Dubai, Abu Dhabi and across the Gulf. One flat monthly price, unlimited staff, and nothing taken from your bookings.
